Website access and technical delivery

Accessing a website involves technical processing of information such as the IP address, requested file, time, browser and operating system. This enables content delivery and detection and prevention of technical faults and misuse. The legal basis is our legitimate interest in a secure, functioning website under Article 6(1)(f) GDPR.

The website uses IONOS web hosting. For this product, IONOS describes the processing of technical visitor data, including anonymised IP addresses, with eight-week retention. Details are available in the linked provider information. Hosting-provider storage is separate from the enquiry forms described below.

Organisational enquiries and general callbacks

The organisational form collects the organisation, contact person, business email address and organisational topic. Role, telephone number and availability are optional. These details are used to handle and discuss your enquiry personally. Health information, details about individual employees, medical free text and documents are not requested.

The general callback for individuals collects only a name, telephone number and broad availability window. It contains no email address, selection of a specific medical service or upload option. Without the required contact details we cannot identify and handle an enquiry or callback; you may alternatively telephone us.

When delivery is enabled, the application sends the details directly to info@tn-preventus.de over an encrypted SMTP connection. Once internal handover is confirmed, an organisational enquiry receives a minimal acknowledgement, not an appointment confirmation. Enquiry contents are not stored in the application database, session, cache, queues or technical application logs.

The legal basis is Article 6(1)(b) GDPR where you request pre-contractual measures or a contract exists. For business contact with an organisation’s representatives, Article 6(1)(f) GDPR applies; our legitimate interest is proper handling of the organisational enquiry.

Email, telephone and retention

When you contact us directly, we process the contact details and information you provide to handle your enquiry. The general mailbox is managed by the TN Preventus team. Email delivery and mailbox operation use IONOS. Transport encryption is not end-to-end encryption. Please agree an appropriate confidential contact route for medical information.

Mailboxes, telephone systems and operational backups are separate processing activities. Not storing form contents in the web application does not mean that delivered messages are never retained elsewhere. Contact information is retained only as needed to handle the enquiry, any resulting contract or statutory retention and evidence obligations. It is then deleted unless another lawful retention ground applies.

Necessary cookies, local media and external links

The web application uses necessary session and security mechanisms, for example to protect forms against unauthorised submissions. These are not used for advertising or cross-site user profiles. Necessary device access is based on section 25(2) TDDDG; related personal-data processing for secure operation is based on Article 6(1)(f) GDPR.

Fonts, images and icons are served locally. The web application does not load advertising or analytics scripts, external social-media widgets, maps, videos or third-party CAPTCHAs. External sites such as Instagram, OEUK, PubMed or ABR-IT are opened only when you choose to navigate to them. Their respective providers’ privacy notices then apply.

Your rights

Subject to the statutory conditions, you have rights of access, rectification, erasure, restriction of processing and data portability. You may object to processing based on legitimate interests on grounds relating to your particular situation. Any consent you have given can be withdrawn at any time for the future. To exercise your rights, use the contact details above.

You may complain to a data protection supervisory authority, particularly where you normally live or work or where a suspected infringement occurred. In Hamburg, this is the Hamburg Commissioner for Data Protection and Freedom of Information. Contact information and complaint options are available on the linked authority website.

The general website forms do not make automated decisions about a medical service, fitness or appointment. Appointments and service agreements are arranged only through personal discussion.
